Rolling Dreamers Cancellation & Refund Policy

1. General Policy

We at Rolling Dreamers understand that plans can change. This policy outlines the cancellation terms and conditions applicable to all bookings made through our agency. Specific third parties such as, airlines, hotels, instructors and other service providers (the “Suppliers”) have their own cancellation policies, which are strictly enforced by them and will apply to your booking in addition to our agency fees. All cancellations must be requested in writing through your account manager or trip manager.

2. Agency Cancellation Fees

In addition to any Supplier penalties, the following non-refundable agency service fees apply:

  • Cancellation more than 60 days before departure: 30% of the total amount is due
  • Cancellation 60-31 days before departure: 50% of the total amount is due
  • Cancellation 30 days or less before departure: 100% of the total amount is due

The amount is calculated over the total Rolling Dreamers costs of personnel in preparation, design and execution of the planned travel itinerary.
In case of cancellation of any part of a multy-stop itinerary the cancellation terms remain in reference to the departure date of the first day of the first part of the itinerary.

3. Supplier Penalties

Supplier penalties vary greatly and can be substantial. They typically increase as the departure date approaches. These penalties are determined solely by the Suppliers and are beyond our control and have to be respected at all times.

4. “No-Show” Policy

Clients who do not arrive for their departure or at their accommodation (“No-Show”) forfeit all payments and are not entitled to any refund.

5. Refunds

If a cancellation results in a refund from the Supplier after deducting their penalties and our agency fees, we will process the refund to the original form of payment within 21 business days of receiving the funds from the Supplier. Please note that receiving refunds from Suppliers can sometimes take 60-90 days.

6. Changes to Bookings

Requests to change travel dates, destinations, or accommodations are treated as cancellations and subject to the applicable fees and penalties outlined above, plus any new booking fees. Changes are contingent upon availability and Supplier approval. Rolling Dreamers can decide, but is never obliged, to provide special discounts in such cases.

7. Agency-Initiated Cancellations

In the rare event we must cancel a tour or package due to unforeseen circumstances, we will offer a full refund of all monies paid to us or the option to rebook on an alternative departure. We are not responsible for any incidental expenses you may have incurred (e.g., visas, vaccinations, non-refundable flights booked separately).

8. Force Majeure

Rolling Dreamers is not liable for cancellations, delays, or changes caused by forces beyond our reasonable control, including but not limited to acts of war, terrorism, civil unrest, pandemics/epidemics, government actions, natural disasters, or weather. In such cases, Supplier policies will dictate any refunds or credits, and our agency fees remain applicable. Travel insurance is the primary recourse for such events.
